Construction closeout is a checklist nobody enjoys building. The data exists across submittals, procurement, daily logs, and the punch list — this engine just stitches it into the deliverable.
Warranty matrix
Every installed product cross-referenced against its manufacturer warranty. Columns: product · spec section · warranty start · warranty term · expiration · manufacturer claim contact · exclusions. Every product on a project shares one warranty start date — the project's substantial completion date — not a separate delivery date per item, so every clock on the matrix starts and expires together. Renders as a sortable PDF + structured CSV.
O&M binder
Every operations and maintenance manual collected from submittal approvals and supplier transmittals. Indexed by trade (mechanical / electrical / plumbing / specialties), by spec section, and by room/equipment tag. Owner can search for "chiller 1" and get the right manual.
As-built drawings
Original design drawings with all redlines applied. Pairs with the As-built Reconciler for redline merging. Sheet revisions compare as overlays or side-by-side splits with changes auto-clouded, so what changed between the design set and the field set is documented, not just filed. PDF + DWG where applicable. Punch list closure photos cross-referenced where the as-built shows a deviation.
Punch closeout report
Final state of every punch item: before / after / closure date / closing sub. Zero open items is a milestone the engine surfaces. Open items at delivery become a documented gap with owner sign-off requirement.

A summary PDF — warranty matrix, O&M index, as-built summary, and punch closeout, each with its own built-in table of contents, branded with the project name and owner — bundled together with the real warranty documents and O&M manuals it indexes, as their own linked files. The warranty matrix is what owners care about most. Two years after closeout, when a chiller fails, someone needs to know: who manufactured it, when does the warranty expire, and who do you call. This engine ensures the answer takes 10 seconds, not 10 hours of email archaeology.
Every warranty on a project starts from the same date — substantial completion, 4/12/2026 below — not a separate install date per product. Term length still comes from the real manufacturer warranty for that product.
The warranty matrix isn't a one-and-done document — it's a live tracker. When a warranty is about to expire, the owner gets an automatic 90-day heads-up. When equipment fails during warranty, the matrix surfaces the claim contact in 10 seconds.

The engine doesn't lock the closeout into a proprietary viewer or a separate portal login. It produces a ZIP archive, branded with the project name and owner: a summary PDF with its own table of contents for the warranty matrix, O&M index, as-built summary, and punch closeout, plus the real warranty documents and O&M manuals it indexes as their own linked files inside the same archive — not just a summary referencing them. You hand it off however this project already shares files: email it, drop it in the owner's SharePoint, or upload it wherever your firm's document platform expects a closeout binder.
A hosted, searchable owner portal is on the roadmap, not in the product today — if that shape matters for your handoff process, ask us where it stands.

Things everyone asks first.
Can I run it before the job is finished?
Yes. Closeout Builder reads whatever is in the project when you run it, so you do not have to wait for substantial completion, and an early run shows what is still missing. It needs at least one warranty, as-built redline, punch item or O&M document to work from. It reports on the whole project, not on one subcontractor, and it does not decide whether a subcontractor's retainage can be released. The check before that release is on the Subcontract pay apps screen.
How big is a typical closeout package?
It scales with the project — a job with a handful of warranties and a short punch list produces a short summary PDF and a small ZIP; a hospital or lab with hundreds of tracked products, a dense mechanical scope, and dozens of warranty documents and O&M manuals produces a much larger one. It's generated fresh from whatever's actually in Submittals, Procurement, Punch List, and Insurance at the time you run it, not a fixed page count or file count.
What if some submittals are missing O&M attachments?
The engine surfaces the gap pre-closeout. PM gets a list of subs that need to provide missing O&Ms with a deadline. Far better than the current pattern: discovering at month 11 that 30% of O&M manuals were never collected.
Can the owner search the package after delivery?
The summary PDF is a standard PDF, so any PDF reader's own search works on it — and because the warranty matrix and O&M index are organized by CSI section, "chiller" or the spec section number will get the facilities team to the right page fast, then straight to that item's warranty document or O&M manual bundled alongside it in the same ZIP. A dedicated hosted search portal isn't built yet; see above.
What happens to the package after the warranty period?
The ZIP stays with the owner indefinitely — it's a standalone archive, not something that expires or needs to stay connected to Trueleveler. The GC's own project data (the submittals, warranties, and punch history it was built from) stays in the project on Trueleveler exactly as long as any other project record does.
Does it handle Procore handoff or Autodesk Build?
Direct export integrations with Procore Documents or Autodesk Build are on the roadmap, not built yet. Today's ZIP is a standard archive of standard files, so an owner using either platform can upload it (or unzip and upload the pieces) manually like any other closeout document.
