Team & roles
Team and roles in Trueleveler is the set of four organization roles, Owner, Admin, Member and Viewer, that control what each teammate can do. An Admin can narrow a Member's access further with a job title, teammates are invited from the Team page, and the number of seats depends on your plan.
What can each role do?
The four roles set the outer boundary of access: Owner, Admin, Member and Viewer.
| Role | Can do |
|---|---|
| Owner | Everything. Billing. Delete org. One per org (the creator). |
| Admin | Manage team, all projects, all engines, all trackers, all settings. Cannot transfer ownership or delete the org. |
| Member | Run engines + edit trackers in every project in the org — access is org-wide today, not per-project. Cannot invite team members. |
| Viewer | Read-only across every project in the org — access is org-wide today, not per-project. Cannot run engines (doesn't consume runs). |
Job titles — narrowing a Member's access further
The four roles above set the outer boundary. Within Member, an Admin can also assign a job title that narrows access to just what that role needs — a Bookkeeper doesn't need field access, a Foreman doesn't need budget access. Set from Settings > Team on each member's row. A title is optional; a Member with no title keeps full Member-level access to every tracker and engine in their assigned projects.
| Title | Gets | Doesn't get |
|---|---|---|
| Estimator | Sales (pursuits, proposals, CRM, email), budget view/export | Field trackers, procurement, wages |
| PM | Budget, procurement, field, docs, schedule, sales view | Wages, closing finance periods, sales pursuits/proposals |
| Foreman | Field trackers, docs, schedule | Any finance, budget, procurement, sales |
| Superintendent | Field trackers, docs, schedule, finance view | Budget/procurement edit, wages, sales |
| Controller | Full finance incl. wages, closing periods, approving payments, budget, procurement | Field trackers, docs, sales |
| Bookkeeper | Finance view, wages, export | Closing periods, approving payments, budget, procurement, field, sales |
| Safety Manager | Field trackers (daily log, safety, QA/QC), schedule | Any finance, budget, procurement, RFIs/submittals/COs, sales |
Safety Manager is the newest title (Aug 2026) — added specifically so an EHS/safety hire can own the safety module (incident tracking, COI/insurance visibility, QA/QC) without also getting a Foreman's document access or a PM's budget access. A title can be changed or cleared any time from the same Team screen.
How many seats does each plan include?
Free 1 seat · Trial 3 · Pro 3 · Business 10 · Enterprise unlimited. Owner counts as 1 seat. On Pro and up, Field-class members (Foreman, Superintendent, and Safety Manager by default) don't count against the seat cap at all — invite as many field staff as the crew needs; only Full-class members (office roles) count. An admin can override a member's seat class any time from Settings > Team.
How do I invite a teammate?
To invite a teammate, open Team, choose + Invite member, and they accept the invitation.
Open Team
Sidebar → Team. Admin / Owner only.
+ Invite member
Enter email + role. Invite email sends automatically. Access is org-wide, not project-scoped — the invite isn't limited to whatever project you had open.

Transfer ownershipNot yet self-serve. The button in Settings > Team points you to email support@trueleveler.com so the Owner-only handoff can be done for you.
Orgs and projects
Your organization is the billing + team container. Projects live inside it. Team members access every project in the org — there's no per-project scoping today. Each account resolves to exactly one org at a time — if you've been invited into more than one, whichever you accepted most recently is the one you operate in; there's no switcher for moving between multiple orgs today.
